ADD DOMAIN NAMES

If you intend to receive mail for additional domain names, these domains should first be added by clicking the Domains icon, then following the prompts. Remember, you must own these domains to add them.

These same domains will later need to be added as Accepted Domains in you’s Hosted Organisation. More on that below.

 

CONFIGURE HOSTED ORGANISATION

Hosted Organisations (OU) are the foundational building block required when creating users and mailboxes in Exchange Server 2013. Therefore, one needs to be created and configured in order to create your mailboxes.

  • Click on Hosted Organisations
  • Enter your name or the name of your company in the Organisation Name field.
  • You also need to choose an "Organisation ID". This is a kind of nickname. It must be no more than 9 characters in length. For example, if your Hosted Organisation or company name is Handy Widgets Pty Ltd, you might choose something like "handy" or "widgets". This Organisation ID will be your unique identifier in the Active Directory.

 

ADD YOUR ACCEPTED DOMAINS

  • Once created, click on your Organisation Name, then click on Accepted Domains from the left hand menu.
  • Click the Add New Domain and choose a domain to add as an Accepted Domain to the Exchange environment.
  • Repeat this step for each additional Accepted Domain.
  • After you've added your domain name/s, select the "radio button" next to it, and then click Set Default Domain if this has not already been set.

 

CREATING MAILBOXES

  • From the left-hand menu, click on Mailboxes and choose Create New Mailbox.
  • Enter all of the necessary information and choose an appropriate Mailbox Plan based on what you've purchased. NOTE: PLUS type mailboxes include use of our supplied Outlook download and license. Only select these plan types if you have ordered a PLUS type mailbox.
  • Finally, click Create Mailbox.

 

E-MAIL ALIASES

Once you create your first mailbox, you can click on the E-mail Addresses / Aliases tab to add any additional email addresses you'd like to receive to your mailbox.

Some aliases you should consider adding to be fully compliant with global email standards are: "postmaster" and "abuse".

IMPORTANT: Your primary e-mail address, along with this mailbox password, will now be your login information when using the Outlook Web App

 

OPTIONAL STEPS

If you need to receive mail from alternative or additional domains to your Hosted Organisation, follow the steps detailed above.There is no limit to the amount of domains you can accept mail from, however, you cannot add domains like google.com, hotmail.com etc. The domains you add, need to be your domain names. In other words, they need to be domains that you own. If it's discovered that you've added domains you do not own, they will be removed from our system without notice and without apology.

You can also add an unlimited range of email aliases by clicking on the E-mail Addresses / Aliases tab in any given mailbox.

If you require additional mailboxes for your clients at a later date, be sure to create them inside their existing Hosted Organisation (OU), otherwise their existing mailboxes will not be able to "see" the new ones and vice versa.

 

The following DNS changes are mandatory:

 

EDIT YOUR MX RECORDS IN DNS

Update your domain's DNS Zone MX records to:

yourdomain.com.au. 3600  IN  MX  10  mx1.exchangeserver.net.au.
yourdomain.com.au. 3600  IN  MX  10  mx2.exchangeserver.net.au.

10 is the "priority weight" given to each MX record to enable to them to deliver mail in a laod-balance fashion using the "round robin DNS" method.

Depending on the DNS system being used, be sure to include the trailing dots (.), otherwise the records may be malformed and may fail. However, if you're using our DNS Manager, follow the instructions there, because trailing dots and quotations marks are not necessary.

 

ADD AN AUTODISCOVER RECORD IN DNS

For Autodiscover to work correctly, you will need to add a CNAME record that looks this:

autodiscover  3600  IN  CNAME  autodiscoverredirect.exchangeserver.net.au.

Depending on the DNS system being used, be sure to include the trailing dots (.), otherwise the records may be malformed and may fail. However, if you're using our DNS Manager, follow the instructions there, because trailing dots and quotations marks are not necessary.

 

ADD AN "OWN DOMAIN" OWA RECORD IN DNS

You can add a CNAME record you to use your own domain to point to OWA, the Outlook Web App:

webmail  3600  IN  CNAME  owaredirect.exchangeserver.net.au.

Depending on the DNS system being used, be sure to include the trailing dots (.), otherwise the records may be malformed and may fail. However, if you're using our DNS Manager, follow the instructions there, because trailing dots and quotations marks are not necessary.

 

ADD AN SPF RECORD IN DNS

The Sender Policy Framework (SPF) is a technical method used by mailservers to prevent sender address forgery. Many mail servers have strict rules about the mail they will receive, but an SPF record using Exchange Server 2013's details will help to ensure that your mail is delivered to its recipient every time:

yourdomain.com.au.  3600  IN  TXT  "v=spf1 a mx ip4:103.5.90.224/28 ~all"

Depending on the DNS system being used, be sure to include the trailing dots (.), otherwise the records may be malformed and may fail. However, if you're using our DNS Manager, follow the instructions there, because trailing dots and quotations marks are not necessary.

Take the time to click on every link, tab and menu link in the Control Panel to become acquainted with the full range of features available to you.

VIEWING & CONFIRMING YOUR RESOURCES

  • When you login to the Control Panel, from the menu on the left, click on:
  • Spaces > Hosted Organisation type, eg, HOSTED ORGANISATION > View All Quotas
  • This will provide you with a comprehensive report of all resources and features provided with your service.

 

VIEWING YOUR MAILBOX SIZE FROM OUTLOOK

  • Open Outlook and right-mouse click on the Outlook taskbar at the bottom of the Outlook interface.
  • Tick "Quota Information On".
  • Now in the bottom left-hand corner of the Outlook taskbar, you'll see the amount of free space in your mailbox in real time.
